Fixtures and training

Since its formation British Universities & Colleges Sport (BUCS) has become recognised as the governing body for university sport in the UK and is accepted as such by the UK Sports Council, National Governing Bodies ofSport and various other sports related organisations. They are responsible for the administration of all fixtures between Universities in the UK.

The University of Glasgow teams compete in the Scottish conference and those placed highly then progress to knockout with teams across the UK.

Scottish Universities Sport (SUS) complete all the administration for the BUCS leagues in Scotland through the SUS Competitions Committee.

BUCS invite entries around May, at this time the Sports Administrator will contact you to confirm the number of teams to enter.

BUCS Team Captains Guide

This information is aimed at helping Team Captains organise the teams for the Inter-University fixtures.

Fixtures

Your contact at Sport and Recreation for your fixture, venue and re-arrangement requirements is the Sports Administrator.

  • You will receive your BUCS fixture list for the coming season at the annual BUCS Captains Meeting held at the start of Term 1.
  • The Sports Administrator will ensure that appropriate facilities are booked for your BUCS fixtures.
  • Indoor fixtures are held at the Kelvin Hall International Sports Arena and outdoor fixtures at Garscube Sports Complex. When these facilities are unavailable an alternative will be sought.

The BUCS website www.bucs.org.uk is a useful resource to check for opponents’ details, directions to facilities and results.

BUCS Fixture Process

  • BUCS team captains and secretaries will receive a weekly email containing a spreadsheet of your fixtures from the Wednesday of the following week until the Tuesday of the next.
  • Check the fixture detail for your team and if you have any queries contact the Sports Administrator.
  • Advise team and ensure all match arrangements are made
  • BUCS Fixture Cancellation/Re-arrangement Process
  • Obtain consent from the Sports Administrator to re-arrange fixture.
  • Sports Administrator will cancel facilities and re-arrange fixture in discussion with you and your opponent’s institution.
  • If your opponents request a re-arrangement the Sports Administrator will deal direct with the institution and will inform you of cancellation and re-arrangement details.

Officials

The number and level of officials will vary from sport to sport. For further information see the BUCS Match Official Requirements document at the BUCS website.

Results

Home match results must be text directly to FixturesLive by the BUCS Team Captain on the day of the game. It can only be text by the Team Captain whose mobile telephone number has been given to the Sports Administrator for registering on the FixturesLive website.

The format is as follows:

2 3 1234

2 = the home team’s goals

3 = the away team’s goals

1234 = the pin number

The number to text the result to is 07976 601028

In the case of postponements or walkovers the Sports Administrator will update the website.

Appeals/playing under protest

If you arrive at a fixture and you feel that the correct officials are not provided or any element of the venue is unsuitable you can play under protest. You should attempt to agree a way forward at the time before initiating the appeal/playing under protest process.

The completion of a Playing Under Protest form allows us the right to appeal at the conclusion of the fixture if you feel that the grievances noted had an affect on the final result.

  • playing under protest forms can be downloaded from www.bucs.org.uk
  • both captains MUST sign the form
  • this will give you the right to appeal
  • send the Playing Under Protest form with a statement to the Sports Administrator and GUSA President first thing the next working day as appeals must be submitted to BUCS by the Sports Administrator no later than midday of the next working day after the fixture

Catering

If your club or team are sponsored by a company that provides catering please let the Sports Administrator know to ensure the visiting institutions are informed.

National and Regional League Fixtures

  • You will receive your National League fixture lists from your National Governing Body. You will either get these by academic year, term or week depending on your sport. All fixtures must be sent to the Sports Administrator by 31 August and as soon as possible thereafter.
  • If GUSA is financially supporting your club in these Leagues, the secretary, club and team captain and fixture secretary, if you have one, will be sent details of the facilities booked for your fixtures.
  • If you need to change these bookings or for fixtures not known in advance you must use the Fixture Cancellation Form and Fixture Booking Form on our website www.glasgow.ac.uk/sport
  • Indoor fixtures are held at the Kelvin Hall International Arena and outdoor at Garscube Sports Complex.

National/Regional League Fixture Confirmation Process

  • A weekly email is issued on a Monday to all club, team captains and secretaries containing details of your fixtures.
  • Check the fixture detail for your team and confirm attendance by noon on the Thursday.
  • Failure to confirm by this deadline will lead to the cancellation of the facility and the cost of the facility being deducted from your club bond.
  • If you need to change or add fixtures you must use the Fixture Booking or Cancellation Form

National/Regional League Fixture Cancellation Process

  • For fixtures that are cancelled, clubs must complete a Fixture Cancellation Form.
  • Fixtures at the Kelvin Hall must be cancelled no later than 7 days in advance. Fixtures at Garscube and the Stevenson Building must be cancelled no later than 48 in advance.
  • Failure to meet the facility cancellation deadlines will result in the cost of the facility being deducted from your club bond.
  • Cancellations beyond the clubs control e.g. the visiting team cancel at late notice will not incur bond deductions.
  • During bad weather conditions staff at Garscube will attempt to advise you of cancellations, however, if in any doubt please contact Garscube directly on 0141 330 5363.

Booking of Facilities and Transport

Any training facility requirements must be requested through the Sports Administrator and for transport requirements the Travel Administrator.

Before confirming or requesting different training slots you must discuss with all members of the club and the coach to ensure the times are suitable.

Early notice of training requirements is essential as your training details are entered into the Sport and Recreation Student Guide, website and What’s On booklet.

Please let the Sports Administrator know as quickly as possible if you can’t attend any session, cancellations not made within the notice period will lead to the cost of the facility being deducted from your club bond. Cancellations out of the club’s control will not incur bond deductions.

There is a 48 hours notice period for training sessions booked at the Stevenson Building and Garscube Sports Complex and a 7 day notice period for bookings at the Kelvin Hall.

Confirming Training Facility and Training Transport Requirements

The Sports Administrator will email the club captain, team captain and secretary at the following times throughout the year to confirm training and transport requirements.

  • 01 April for summer vacation and semester 1
  • 01 Sep a reminder email for 1st week of semester 1 training
  • 31 Oct for Christmas vacation and semester 2
  • 01 Feb for Easter vacation and revision/exam time

Please note that no training will be allocated in the last week of each session unless specifically requested. Your training facility and transport requirements will be confirmed by email for each term. The Sports Administrator will email you if there are any facility cancellations or time changes.

Events

You must complete the Booking Enquiry Form on our website www.glasgow.ac.uk/sport ensuring that all your requirements are stated. If requesting space at the Kelvin Hall remember and include what size of area you require in the other additional requirements box.
